Move your business email from Microsoft 365 to Velto Mail

Why people switch from Microsoft 365

• Business Basic costs about US$7 per user per month on an annual plan (as of October 18, 2026). The price covers Teams, OneDrive, SharePoint and the web Office apps. If your team only uses Outlook, you pay for the rest anyway.
• Microsoft keeps mail for Canadian organizations in Canadian data centres. The difference is the operator: Velto is a Canadian company running its own mail server in Québec, Canada.
• The new Outlook for Windows syncs non-Microsoft accounts through Microsoft's cloud. Velto works with classic Outlook directly, with no Microsoft service in between.

What moves

• Every message, with its folders, read and unread state, flags, original dates and attachments.
• Distribution lists can be set up again as Velto group addresses (for example board@).
• Contacts and calendars come across as files: export them from Microsoft 365 (contacts as a .vcf file, calendars as .ics files) and import them into your Velto address book and calendar from your phone or computer.
• Your domain stays yours. Only the mail records (MX) change.

What doesn't move

Teams chats and meetings, OneDrive and SharePoint files, the Office desktop and web apps, Bookings and Planner. Velto replaces the mailbox only. You can keep a Microsoft plan for those tools, or use free alternatives such as LibreOffice and Jitsi Meet. Shared mailboxes don't move either: Velto doesn't offer them. Each person needs their own mailbox, or use a group address.

Mail filters, rules and signatures don't move; set them up again in Velto.

How long it takes

• Once your files are uploaded, a few GB usually imports within a few hours. Uploading the same file again doesn't create duplicates.
• A day or more ahead, lower the time-to-live (TTL) on your MX records; then point them at Velto. Velto shows the exact records and checks them.
• After the change, export anything that still arrived at Microsoft 365 and upload it too. Messages already imported aren't copied twice.
• You get a “migration complete” email. Then you can close your Microsoft 365 account.

What it costs

Competitor prices as of October 18, 2026: list prices in US dollars, before taxes and promotions. Prices change, so check the provider's own site.

Founding price for the first 1,000 mailboxes; US$12 from mailbox 1,001. Your mailbox renews at the price you paid, for as long as you keep it. Billed annually.

Law firms, accountants and consultants: the Compliance plan is US$30 per mailbox per year at the founding price, US$40 public.

How to switch

1. Export your mail to .mbox or .eml files. Thunderbird and Apple Mail on a Mac can do this once your Microsoft 365 account is added to them. Outlook's own .pst export can't be uploaded.
2. Add your domain to Velto, create your mailboxes, and upload the files in the Velto dashboard.
3. Change your MX records, and remove Microsoft's Autodiscover record and its SPF entry, so Outlook stops looking for Microsoft. Velto checks each record.

Microsoft no longer lets other services sign in to a mailbox with a password, and Velto's “Sign in with Microsoft” isn't ready yet. Until it is, the move uses an export and an upload. If that isn't practical for you, email hello@veltomail.com and we'll help you plan the move.

Keep using your phone and apps

Remove the Microsoft 365 account from your mail apps and add your Velto address and password. Thunderbird, classic Outlook and Apple Mail on a Mac find the settings on their own; on an iPhone, a one-tap setup profile adds mail, calendar and contacts; Android takes a few more taps. Calendars and contacts sync too. With two-factor on, each mail app gets its own app password from the Velto dashboard. You can also install the Velto web app on your phone. Compliance customers use classic Outlook, Thunderbird, Apple Mail or the Velto app, not the new Outlook.
